Information we collect
We collect account and business details you provide, such as name, email, phone, organization, role, location, plan, language, support messages, referral attribution, and contact or demo inquiry information.
When you use the service, we process authentication and session records, portal activity, learning progress, uploaded media, reports, connected-platform configuration, and account settings. When you contact support or the AI assistant, we may process the conversation, transcript or recording where disclosed, summary, intent, sentiment, issue details, actions tried, ticket status, and requested follow-up. Google sign-in may provide your email, name, and profile image after you consent.
When you connect a business account, such as a Google Business Profile or a Facebook Page, we also receive the platform data described under “Connected accounts and platform data” below.
When a visitor to a customer’s website sends a request through a Show Up Nearby widget, we receive the name, email address, phone number and message they entered, the service or area they chose and the page it was sent from, with their consent to be contacted by that business, and we store it for the business and email it to the people on its team who receive leads. We process it for that business and at its direction; the business is responsible for how it uses the request.
Each Show Up Nearby widget also counts, as daily totals, how many times it is shown and used on a business’s website and how often a job’s short link opens it, and records the address of the page it is on without its query string, masking any part of the path that looks like an email address, a North American phone number, a long number or a UUID-style unique ID; it uses no cookies, stores no IP address or visitor identifier, and counts nothing when a browser sends Do Not Track or Global Privacy Control.
How we use information
We use information to authenticate users, provide and secure the portal, operate customer support, qualify requests, route human follow-up, personalize language and resources, deliver reports and requested communications, prevent abuse, and improve service reliability. We do not use automated systems to make final decisions about refunds, cancellations, compensation, ownership, legal rights, or privacy requests.
AI-assisted conversations and support
Our AI assistant may answer known questions, gather context, suggest safe troubleshooting, send approved links, create or update support records, and help arrange follow-up. It discloses that it is an AI assistant. Sensitive or account-specific matters—including legal, privacy, security, ownership, disputed billing, refunds, and cancellation completion—are routed to a person. Conversation records may be reviewed for service quality, safety, training, and follow-up.
Calls to our 888 line are answered by an AI assistant run by Retell, which processes the call audio and transcript.
Connected accounts and platform data
Nearby Proof is the publishing section of your Show Up Nearby dashboard. In it, a person authorized in your workspace can connect business accounts on Google Business Profile, YouTube, Facebook, Instagram, Threads, TikTok, LinkedIn and Pinterest, and can save a link to your Apple Maps place. Saving the Apple Maps link gives us no access to Apple; we store only the link.
What we receive and why
We use the data a platform sends us only to provide Nearby Proof at your direction: to publish the posts a person in your workspace approves, to the accounts you choose; to read back whether each post was published and where, and, once a day for the 90 days after it was published, the figures the platform reports about it, such as views, likes, comments, shares, saves and clicks, so your Overview can show how each post did; to show your Google reviews in your dashboard; and to draft replies that a person on your team approves before anything is posted. We do not sell platform data, do not use it for advertising, and do not transfer it to anyone except as described in this notice.
When you connect an account, you sign in on the platform’s own page and approve the access it lists; we never see your platform password. Where you connect through our own registered app—Facebook, Instagram and Threads, and Google Business Profile and Pinterest once our own app for each is in use—the platform’s consent screen names Show Up Nearby and we hold the authorization ourselves: the access token is stored encrypted in our database and is used only by our server to make the requests described in this section. For the other platforms, and for any account connected before our own app for its platform was in use, the authorization is held by our publishing service providers, currently Zernio, which keep the access token and carry out publishing on our instructions; Show Up Nearby does not store those tokens. Everything in this section applies in the same way whichever of us holds the authorization.
For every connected account we store the platform; the account’s ID, display name and username; links to its profile and profile picture; who in your workspace connected it and when; when it was last checked; and when it was disconnected. For every post we publish we store the platform, the post’s ID and link, its delivery status and any error the platform returned, and the latest figures the platform reported about it and when we read them. While you connect an account or prepare a post, we also read lists the platform returns so you can choose—your Business Profile locations, Facebook Pages, Pinterest boards or TikTok posting options—and keep only what you choose.
Google Business Profile
We read the Business Profile locations you manage so you can choose one, publish the posts you approve to it, and read its reviews: the reviewer’s name as shown on Google, the rating, the review text, its dates and the business’s reply. We store those reviews, and any reply drafts your team writes, so they can be read and answered in your dashboard. A reply is posted to Google only after a person in your workspace approves it. For each post we published to your profile, we also read once a day how many times it was viewed on Google Search and how many times its button was clicked.
Show Up Nearby’s use of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.
We do not use data received from Google APIs to train or improve AI models. Our staff read it only when you ask us for help that needs it, when it is needed for security, or to comply with law.
YouTube
Nearby Proof uses YouTube API Services. When you connect a YouTube channel, we read the channel’s ID and name, upload the videos you approve, and read back each video’s ID, link and status. By using YouTube features in Nearby Proof, you agree to be bound by the YouTube Terms of Service. Google’s handling of your information is described in the Google Privacy Policy.
We keep this YouTube data only while it is needed for the channel you connected: what we cannot refresh from YouTube is deleted within 30 days, and all of it is deleted within 7 days after you disconnect the channel or we verify a deletion request. In addition to disconnecting in Nearby Proof or asking us to delete your data, you can revoke our access at any time from the Google security settings page. Deleting the data we store does not delete anything on YouTube; to remove a video, delete it on YouTube. We do not allow third parties to serve advertisements in Nearby Proof. Our website and dashboard use cookies and similar technologies, including Google Analytics, as described under “Website data, cookies and analytics.” Questions or complaints about how we handle YouTube data can be sent to support@showupnearby.com.
Meta: Facebook, Instagram and Threads
We read the Facebook Pages you manage so you can choose one, and the ID, name and username of the Facebook Page, Instagram professional account or Threads profile you connect. We publish the posts you approve and read back each post’s ID, link and status, and once a day the likes, comments and shares of each Facebook post, how many people it reached where Facebook makes that available to us, and the likes and comments of each Instagram post; we read no figures from Threads. When you connect through Facebook, we also read the name and app-scoped ID of the Facebook profile you sign in with, and keep the ID so we can honor a removal or deletion request you make at Facebook. We do not use this access to read your messages, your followers or anything else from your personal profile.
TikTok
We read your TikTok account’s ID, display name and username, and the posting options TikTok allows for it, such as who can view a post and whether comments, duets and stitches are allowed. We publish the videos or photos you approve and read back each post’s ID and status.
We read the ID and name of the LinkedIn profile or Page you connect, publish the posts you approve, and read back each post’s ID and status. LinkedIn limits how long some of its data may be kept; where LinkedIn’s terms require a shorter period than this notice, we follow LinkedIn’s.
We read your Pinterest account’s ID and name and the list of your boards, so you can choose where each Pin goes. We publish the Pins you approve and read back each Pin’s ID, link and status, and once a day how many times it was seen, saved and clicked and the reactions and comments it received.
Nextdoor and Apple Business
We do not connect to Nextdoor or Apple Business Connect today. Before we offer either one, we will update this notice to describe what we receive from it, why, and how to revoke our access.
Who processes platform data
Platform data is processed by Show Up Nearby itself for accounts connected through our own apps; by our publishing service providers (currently Zernio), which hold the authorization and carry out publishing, for the rest; by Supabase, which hosts our database, sign-in and file storage, including the encrypted tokens; and by Vercel, which runs our application. When you ask for an AI suggestion, Anthropic receives the review text or job notes needed for that draft and returns a suggestion for a person to approve. Platform data is never used to train AI models: we do not do it, and Anthropic does not train its models on the content we send under its commercial terms.
How long we keep it
- Content we receive from Google Business Profile—reviews, reviewer names, review text and replies—is refreshed from Google while the profile is connected and kept no longer than 30 days without a refresh.
- A review that disappears from Google is kept for at most 30 days, so we can show you that it disappeared, and then deleted.
- Data we received from a connected platform is deleted within 7 days after the account is disconnected or after we verify a deletion request.
- If you connect LinkedIn, LinkedIn data follows LinkedIn’s shorter limits where they apply.
- Your own content—the jobs, photos, videos and captions you create—stays yours and is kept while your account is active, until you delete it or ask us to.
Disconnecting and revoking access
To disconnect an account, open Nearby Proof, then Social accounts, choose Review on the account’s card, then Disconnect account and Confirm disconnect. You can also remove our access in each platform’s own settings; the app listed there may be Show Up Nearby or our publishing service provider:
- Google (Business Profile and YouTube): Google Account permissions or the Google security settings page.
- Facebook: Settings & privacy > Settings > Apps and websites, then Remove.
- Instagram: Settings > Website permissions > Apps and websites, then Remove next to the app.
- Threads: Settings > More settings > Website permissions, then Remove next to the app.
- TikTok: Profile > Menu > Settings and privacy > Security & permissions > Apps and services permissions, then the app and Remove access.
- LinkedIn: Me > Settings & Privacy > Data privacy > Other applications > Permitted services, then Remove.
- Pinterest: Settings > Security, where the apps connected to your account are listed; remove the app there.
Revoking access at a platform stops us from reading or publishing to that account. To have the data we already received deleted within 7 days, also disconnect the account in Nearby Proof or send us a deletion request. For a Facebook, Instagram or Threads account connected through our own app, removing Show Up Nearby in that platform’s settings also tells us: we delete the authorization you gave us and the 7-day deletion of the rest begins without any further step. If you also ask the platform to have your data deleted, it gives you a confirmation code, and our Data deletion page shows the state of that request when you open it with the code.
Requesting deletion
Our Data deletion page explains how to ask us to delete the data from one platform, from all of them, or your whole account. You can also email support@showupnearby.com from the address you sign in with.
Service providers
We use service providers including Supabase for database, authentication, and storage; Vercel for hosting; Resend for email delivery; Stripe for payments; HighLevel (LeadConnector) for the chat widget on our marketing pages and for the customer-relationship records where contact, demo and signup details are kept so a person can follow up; Retell, which runs the AI assistant on our 888 phone line and processes the audio and transcript of those calls; Google Analytics for website usage statistics, as described under “Website data, cookies and analytics”; Anthropic for AI drafting; and our publishing service providers, currently Zernio, for publishing to connected platforms. Nearby Proof is the publishing section of your Show Up Nearby dashboard, not a separate service. Google Maps Platform provides the place search our server uses and the map inside website widgets, which loads in the visitor’s browser; Google processes information under its Privacy Policy. Linked media providers process information under their own terms.
Payments and recurring billing
Stripe processes checkout, payment methods, subscriptions, invoices, and billing management. Show Up Nearby does not receive or store full card numbers or card security codes. Stripe may provide us with customer, subscription, payment status, billing country, invoice, and limited payment-method details needed to operate the account and address billing questions.
Website data, cookies and analytics
Our website may process device, browser, approximate location, referral source, page, and interaction information for security, reliability, and analytics. We use Google Analytics, which sends usage information to Google under its Privacy Policy and sets its own cookies only after you accept them, as described below; it is never loaded on the password-reset, sign-in-callback and paid-onboarding pages, or in the directory workspace. Our public pages load a chat widget from HighLevel (LeadConnector), which sets its own cookies and receives what you type into it, including a phone number if you give one.
Google Analytics starts with its cookies off: a cookie bar at the bottom of the page asks whether you accept analytics cookies, and until you accept, and whenever you decline, it stores nothing on your device and sends Google only cookieless pings. Google signals and ad personalization are off; we run no ads. Your answer is kept in your browser and you can change it at any time under Cookie choices. If your browser sends a Global Privacy Control or Do Not Track signal, we treat it as a refusal: the bar does not appear and analytics cookies stay off.
Your browser’s own storage keeps small settings and drafts on your device, such as your language, your answer to the cookie bar, the business you last opened, whether you finished the welcome tour, a crash-recovery copy of a post you are writing, your sign-in session while you are signed in, and a referral code for 90 days so its discount can be applied at checkout; it stays in your browser and is read only by this site. You can block or clear cookies and site data in your browser settings; the public site works without them, and signing in needs your browser to keep a session.
Some pages load resources from other companies, which receive your IP address when they are fetched: Google Fonts (typefaces), Google Maps Platform (the map inside website widgets), Unsplash (example photographs on the home page), the Google sign-in button on the login page, and the HighLevel chat widget on our marketing pages, which may set its own cookies. We do not use any of them to track you across other sites.
Sharing and retention
We do not sell personal information. We disclose information only to operate the service, comply with law, protect rights and security, or complete a business transaction with appropriate safeguards. Records are retained while needed for service, legal, security, and accounting purposes; platform data follows the shorter limits in “Connected accounts and platform data.”
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information may be shared with service providers only as necessary to provide support services. Text messaging originator opt in data and consent will not be shared with any third parties.
Security
We use organization-scoped access controls, private storage, encrypted connections and authenticated sessions, but no system can guarantee absolute security. If you believe you have found a security vulnerability, email support@showupnearby.com with “Security” in the subject and enough detail for us to reproduce it. Please do not access other people’s data or disrupt the service while testing. We will acknowledge your report and tell you what we did about it.
Your choices
You may update profile and optional email preferences in your account. You may request access, correction, export, or deletion by emailing support@showupnearby.com. Some records may be retained where legally required or necessary to protect the service. Our Data deletion page explains how to disconnect accounts, revoke access and what a deletion covers.
International processing and children
We operate from the United States and service providers may process information in the United States or other countries subject to contractual and legal safeguards. The service is intended for businesses and authorized adult users, not children under 13, and we do not knowingly collect children’s personal information.
